3. Task
Define the specific output you want.
Bad: “Help me with this proposal.” Good: “Write the technical approach section of our RFP response. 800-1000 words. Cover our fabrication capabilities, quality certifications (ISO 9001, ASME), and three relevant project examples (I’ll provide the details below).”
The task should specify:
- What the deliverable is (email, report section, social post, SOP, analysis)
- The scope (word count, number of items, time period)
- The purpose (inform, persuade, train, document)
4. Format
Describe the structure of the output.
- “Use a numbered list with bold headings for each step”
- “Format as a table with columns: Risk, Likelihood, Impact, Mitigation”
- “Write as a formal letter with letterhead placement, date, recipient, body, and signature block”
- “Create a slide outline — one bullet per slide, with speaker notes in italics”

5. Guardrails
Tell the AI what to avoid, what limits to respect, and what quality standards to hit.
